Responsibilities



Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry and maintain accurate filing systems, both physical and digital, utilizing tools like Google Workspace and Microsoft Office. Coordinate calendar management, schedule appointments, meetings, and conference rooms for staff members. Support office management tasks such as supply inventory, order processing, and basic bookkeeping using QuickBooks or similar software. Provide customer service support by addressing inquiries via phone or email, offering friendly assistance and problem resolution. Assist with clerical tasks including proofreading documents, preparing reports, and ensuring accuracy in all communications. Handle miscellaneous administrative duties such as photocopying, faxing, organizing files, and supporting personal assistant responsibilities when needed.

Qualifications



Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent computer literacy with familiarity in data entry, proofreading, and document management. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Previous experience working as a receptionist or in customer support roles such as dental or medical receptionist is advantageous. Knowledge of office management procedures including filing systems, calendar management, and basic bookkeeping (QuickBooks experience preferred).
