Job Description

Toby & Jain CPA Professional Corporation, a progressive and expanding CPA firm looking for an Administrative Assistant to be part of the office administrative pool. The applicant must be able to work within a confidential client-based environment, be flexible and adaptable to multiple duties. Previous experience with an accounting firm is preferred.

This is a full-time role and expected to start within immediately.

Responsibilities:



- Provide general administrative support to the partners and staff.

- Document review, scanning and filing in document management system. Experience with Doc.it Suite is required.

- Utilize QuickBooks to manage financial records and transactions effectively.

- Manage accounts receivable, making calls and sending emails for outstanding payments.

- Setting up meetings and appointments, calendar management. Experience of Microsoft outlook and teams is an asset.

- Serve as a point of contact for clients, providing excellent customer service and resolving inquiries in a timely manner.

- Manage entire Karbon Practice Management software.

- Assist in planning and executing various projects by coordinating tasks and deadlines.

- Determine and establish office procedures and routines.

- Answer telephone and relay telephone calls and messages.

Requirements:



- Experience in a professional, fast-paced environment with the ability to adapt to changing priorities.

- 3+ years of relevant Canadian work experience as an administrative assistant in public accounting firm is necessary.

- Practical knowledge of QuickBooks desktop and Quickonline.

- Proficient in using Office 365, including Word, and Excel.

- Knowledge and experience of document management software, Doc.It.

- Experience with CCH Taxprep T1, and T2 software.

- Knowledge and Experience of any ERP software will be an asset.

- High level of attention to detail and accuracy in handling administrative tasks.

- Email Correspondence experience preferred.

- Knowledge and experience of accounting practice management software Karbon.

Education:



- College / CEGEP or other non-university certificate or diploma from a program of 1 year

to 2 years
