We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of daily office activities. Bilingual skills are a plus, as well as experience in medical or dental reception, bookkeeping, or personal assistance.
Duties
Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
Handle data entry, filing, and document proofreading to maintain accurate records
Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
Coordinate calendar management and appointment scheduling for staff and clients
Perform bookkeeping tasks using QuickBooks and assist with basic office management duties
Provide customer support through effective communication and problem-solving skills
Support medical or dental reception duties as needed, including patient check-in and appointment confirmations
Assist with personal assistant tasks such as travel arrangements or special project coordination
Maintain organized files and ensure confidentiality of sensitive information
Skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Strong organizational skills with excellent time management abilities
Experience with office management, clerical work, and administrative support functions
Knowledge of QuickBooks for bookkeeping purposes
Effective multi-tasking skills in a fast-paced environment
Exceptional customer service skills with professional phone etiquette
Bilingual communication skills are preferred but not required
Ability to handle data entry accurately and efficiently
Experience in front desk operations or as a receptionist in medical or dental settings is advantageous
Strong proofreading abilities and attention to detail
Familiarity with office equipment such as multi-line phone systems and printers
