Job Description

Rydex Freight Systems, located in Newmarket, is an expedite and dedicated transportation company that completes shipments within Canada and to/from the U.S with over 100 units on the road, including sprinters and straight trucks.

Our growing operation is looking for an in-office administrative assistant to join our team. This is an entry-level position with full, personalized training and gradual growth expectations. The ideal candidate must have a career mindset with goals to learn about our industry and gradually take on new and increasing responsibilities.

The four areas that would be involved in this role are:

Reception Office and Supply Management Safety and Compliance Assistance Driver Services
Serving as our company's reception, this position requires a candidate who is comfortable meeting new people and interacting with any clients, guests, drivers, or vendors that may come through our doors. Duties will include announcing any arrivals to parties being visited, escorting parties to our conference room and providing coffee/water as needed, and receiving and sorting daily mail/packages and driver paperwork.

Also, the administrative assistant would help manage on-site requirements such as office supply ordering, liaising with technicians or other services, managing distribution and inventory of materials issued to drivers (security seals, transponders, etc.), scheduling meetings, taking notes (as required), and other small duties like ordering staff lunches.

To assist our Safety and Compliance team, and an easy transition to Driver Services, this position will triage emails and assign tasks within our safety and compliance inbox, administer the onboarding and offboarding process for drivers by reviewing driver and vehicle files for completion, coordinating with our Fleet and Clerical Managers to ensure completion of all requirements, and equipping drivers with necessary supplies such as seals, trip envelopes, etc.

By coordinating the onboarding of new drivers, this position will have a familiar and established relationship with all our drivers. For this reason, this position will also serve as Drivers services and be the first point of contact for drivers' inquiries, or for directing inquiries to the right parties.

The right candidate for this role would ideally have a background in transportation or at least basic knowledge of the industry. Not having this knowledge or experience is not a deal breaker - more so, we're looking for a team player who is organized, friendly but stern, and who is looking for a long-term career and wishes to grow within our company.

Candidates must be technologically proficient, curious and engaged, and be able to be on site 8 am to 5 pm, Monday through Friday.

Pay: From $38,000.00 per year
