About the Opportunity


The Administrative Assistant will report to the Facility Manager and will perform a variety of secretarial, administrative and co-ordination duties including, but not limited to:
  • providing administrative and clerical support
  • patient registration
  • processing physician orders
  • data entry on NSHiS
  • maintaining workload and statistical data
  • general secretarial duties (processing mail, composing routine correspondence, typing, transcribing dictation, filing, maintaining mail lists, faxing, collating, photocopying and answering the telephone)
  • monitors staffing requirements on a daily basis to ensure adequacy and competence necessary for quality patient care
  • contacts and arranges staff to provide relief as required by Unit Manager
  • inputs schedules & rotations into time entry system, checks biweekly time entry and edits lists to confirm accuracy and makes adjustments
  • incumbent utilizes HRIS
  • other job related duties


About You


We would love to hear from you if you have the following:
  • Grade 12
  • Graduate of a Medical Secretarial program (two years)
  • Minimum of three (3) years experience in a medical environment
  • Typing speed of 55 w.p.m.
  • Proficiency with a variety of office software including word processing, spreadsheet applications
  • Excellent interpersonal and communication skills, high degree of tact, judgment and confidentially
  • Excellent organization and time management skills
  • Demonstrated initiative, ability to set deadlines without sacrificing work standards
  • Competencies in other languages an asset, French preferred
