We are looking for an organized and professional administrative assistant for our mobile hearing clinic. Ears to You is a hearing aid company based on Vancouver Island which offers exclusively to-your-door mobile hearing services; with franchise locations that span across Canada. Ears to You was started by a very experienced hearing health specialist team to change the way patients receive hearing care. You will be responsible for running data entry and administrative tasks from a central office located in Nanaimo. This is a full-time hourly position for someone who is highly organized and excels at customer service and clinical administration.

Schedule: 9:00 am to 5:00 pm, Monday to Friday
Reports to: Senior Management at Head Office
Experience: >2 years' administrative assistant experience (health-care related clinic desirable).

You enjoy guiding clients through their journey, and have experience managing a calendar. You have an engaging, outgoing personality and genuinely enjoy helping people. Retail, and/or clinical experience is an advantage. Every person you interact with leaves with a solution.
Essential knowledge and competencies required:
Microsoft suite
Online ordering systems for medical devices/supplies, and claiming to third parties
Familiarity with the Freedom of Information and the Protection of Privacy Act (FIPPA)
Attention to detail
Highly organized
Professional and friendly telephone manner
Position Tasks/Duties:
Scheduling client appointments over the phone
Ordering hearing aids, molds and office supplies
Trouble-shooting client concerns and questions over the phone and delegating to a hearing professional when required
A solid grasp of hearing aid pricing and models
Interfacing with 3rd party insurers such as VAC, FNA, and XXXX
Facilitating the day-to-day running of the clinic (including filling)
