We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves providing exceptional customer service, managing schedules, and ensuring smooth daily operations within a professional environment. Bilingual proficiency is a plus, as well as experience with medical or dental reception, bookkeeping, and data entry.
Duties
Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office Suite, Google Workspace, and SAGE for various administrative tasks
Assist with calendar management and scheduling appointments for staff or clients
Provide customer support via phone and email, maintaining excellent phone etiquette and customer service standards
Support office management activities such as bookkeeping, invoicing, and record keeping
Maintain organized files both digitally and physically to ensure easy retrieval of information
Handle general clerical duties including typing correspondence, managing office supplies, and supporting team members with personal assistant tasks as needed
Ensure compliance with office policies and procedures while maintaining a professional work environment
Requirements
Proven experience in office administration or clerical roles; previous experience as a receptionist or personal assistant is preferred
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry skills
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent communication skills, both verbal and written; bilingual abilities are advantageous
Familiarity with multi-line phone systems, front desk operations, and office management practices
Attention to detail for proofreading documents and maintaining accurate records
Demonstrated time management skills to prioritize tasks effectively
Office experience in medical or dental settings is a plus but not required
Ability to handle sensitive information discreetly and maintain confidentiality
High school diploma or equivalent required; additional administrative certifications are beneficial
