The Opportunity: Located in the heart of the financial district at the Sun Life Building in downtown Montr\xc3\xa9al, this position will be a part of the Property Management team. We are looking for someone who will demonstrate a strong sense of commitment and dedication in providing administrative, customer service and accounting support to our clients and team members. What you will do: Administrative Functions

  • Provide support to the Property Manager and office staff for all aspects of day-to-day activities for assigned buildings in portfolio.
  • Produce, write, revise, layout and translate various business documents in French and English.
  • Interact, communicate, and correspond professionally and effectively with all stakeholders, whether they are tenants, suppliers, professionals, visitors or maintenance staff.
  • Coordinate the logistics of meetings and committees related to building management, prepare and distribute documents related to these meetings/committees, attend, take notes and follow up on decisions made at these meetings/committees.
  • Produce PowerPoint presentations.
  • Participate in the inputting of certain data related to the building\xe2\x80\x99s operation.
  • Update and fill, both paper and electronic, of the various files and reports.
  • Maintain and update tenant information, including phone numbers, contact names and emergency contacts information.
  • Assist in the preparation of tenders and contracts.
  • Maintain an up-to-date list of contracts by building.
  • Embrace and pro-actively support BentallGreenOak\'s culture of environmental sustainability, and corporate and social responsibility.
  • Produce comparative Excel spreadsheets.
  • Assist with special projects, tenant events and other office functions as required.
  • Assist with documentation of capital projects (CCDC2, denunciation, approval letter).
  • Other tasks and responsibilities as may be required from time to time.
Accounting Functions
  • Assist with accounts receivable processing, as required.
  • Respond to supplier payment requests.
  • Maintain petty cash.
  • Regularly process VISA transaction statements for corporate cards.
  • Prepare expense reports.
  • Assemble and correct budget packages for properties for your clients.
  • Participate in the compilation of year-end accruals and collect supporting documentation.
  • Support property administrator in her daily duties as required.
  • Assist with accounts receivables when required.
  • Understand leases to ensure accurate information is received and maintained.
  • Address vendor payment inquiries and validate account statement.

Who you are:
  • At least 5 years\' experience in administration.
  • Property management experience is considered an asset.
  • Post-secondary education.
  • Excellent oral and written communication and presentation skills; Ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality; displays enthusiasm and has a desire to learn; team player.
  • Organizational/multi-tasking skills \xe2\x80\x93 ability to allocate one\'s time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes.
  • Computer Skills \xe2\x80\x93 Advanced skills in Microsoft Office; particularly Word and Excel.
  • Bilingual \xe2\x80\x93 Excellent command of French and English because of frequent communication with tenants and colleagues in other Canadian offices (spoken and written)
  • Police Clearance \xe2\x80\x93 A criminal verification check is required for employment.
