The
Role
We are currently seeking a motivated and detail-oriented Administrative Assistant to join our dynamic Maintenance Operations team. This is a fully remote position based in Montreal, with the opportunity to play a key role in supporting day-to-day operations and project coordination. While the role is primarily remote, occasional travel to client locations within the Montreal area may be required.
You'll be responsible for a variety of administrative tasks, including data management, financial tracking, and communication with vendors and clients. This role is ideal for someone who thrives in a fast-paced environment and is looking to grow within a supportive and people-first company.
Key Responsibilities
Maintain and update internal databases with a high level of accuracy
Prepare reports and manage records efficiently
Perform basic accounting tasks, including invoicing and payment processing
Provide administrative support to the maintenance operations team
Communicate effectively with vendors, clients, and internal team members
Support and monitor maintenance-related projects as needed
Representing IGC in project meetings with internal and external stakeholders
Attend pre-project and progress meetings, complete documentation, and assist with scheduling when needed
Build and maintain strong relationships with clients, suppliers, and subcontractors
Core Skills / Qualifications
Fully bilingual in French and English (required)
Strong proficiency in Microsoft Excel, Word, and Outlook (required)
Proficiency in QuickBooks and sound knowledge of accounting principles (required)
Knowledge of plumbing or facility maintenance is a strong asset
Excellent communication and interpersonal skills
Detail-oriented with strong organizational and time-management abilities
Ability to handle sensitive information with discretion
Self-motivated, reliable, and capable of working under pressure
Positive attitude and a collaborative, problem-solving mindset

Nous recherchons une adjointe administratifve bilingue motivee pour rejoindre notre equipe des operations. Ce poste est entierement en teletravail (base a Montreal) et joue un role crucial dans la coordination de nos activites quotidiennes.
Le candidat ideal doit maitriser parfaitement le francais et l'anglais, tant a l'oral qu'a l'ecrit, afin de communiquer efficacement avec nos clients, fournisseurs et collegues a l'echelle nationale. Bien que le travail soit a distance, des deplacements occasionnels dans la region de Montreal pourraient etre requis pour des reunions ou des visites de sites.
Responsabilites principales
Assurer la tenue et la mise a jour rigoureuse des bases de donnees internes.
Preparer des rapports et assurer une gestion documentaire efficace.
Prendre en charge la comptabilite de base (facturation et suivi des paiements).
Offrir un soutien administratif direct a l'equipe de maintenance.
Agir comme point de contact entre les fournisseurs, les clients et l'equipe interne.
Representer IGC lors de reunions de projet avec les parties prenantes.
Batir et maintenir des relations de confiance avec les partenaires et sous-traitants.
Profil recherche
Maitrise parfaite du francais et de l'anglais (imperatif).
Maitrise avancee de la suite Microsoft Office (Excel, Word, Outlook).
Experience avec QuickBooks et bonnes notions de comptabilite.
Connaissance du secteur de la construction ou de la maintenance (atout majeur).
Sens de l'organisation, rigueur et excellente gestion des priorites.
Capacite a travailler de maniere autonome sous pression.
