What You Will Accomplish With Us



As an administrative assistant, you will be at the heart of our mission. Here are your key responsibilities:

Provide administrative support to the Senior Director, including calendar management, proactive email handling, and planning and booking business travel. Coordinate events and meetings (committees, workshops, team gatherings), including room reservations and all related logistics. Prepare expense reports for the management team, ensuring compliance with company policies. Draft, review, and proofread various administrative documents. Actively participate in the onboarding process for new employees and serve as the primary point of contact for administrative and operational inquiries within the team. Track consultants' working hours, manage financial provisions, and process invoice payments for the department. Identify areas for improvement and implement optimizations in administrative processes.

Possesses a minimum of 5 years of relevant experience in a similar role Recognized for strong attention to detail and resourcefulness Distinguished by initiative, collaborative mindset, and ability to serve as a liaison within the team Known for advanced knowledge of the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams) Demonstrates a solution-oriented approach and a commitment to delivering excellent service to stakeholders Intermediate level of English proficiency, as the role requires communicating via email with various suppliers and external partners, reading and drafting documents in English, and frequent interactions with English-speaking colleagues and internal partners across Canada on a daily basis
