Manage and prioritize an executive's calendar, including scheduling meetings across multiple time zones. Coordinate domestic and international travel, accommodations, and itineraries. Prepare high-quality presentations, reports, and briefing materials tailored to the intended audience. Manage correspondence with internal and external stakeholders, ensuring professional, timely, and effective communication. Act as a liaison between senior leadership and cross-functional teams. Maintain confidentiality of sensitive business and personnel information. Track action items and follow-up on commitments to ensure timely execution. Support change management and communication initiatives led by the executive team. Organize leadership meetings, workshops, and events, including logistics and materials preparation. Facilitate the onboarding process for new employees by coordinating requests for ID badges, system access, and equipment (e.g., laptops and headsets). Create purchase orders (POs) and statements of work (SOWs) for consultants, equipment, and other services in the system, and follow up with stakeholders to ensure timely review and signature. Balance conflicting priorities and ensure smooth day-to-day operations for the executive. Bachelor's degree in Business Administration, Communications, or related field (or equivalent experience). 5+ years' experience providing executive-level administrative support in a global organization. Proven ability to manage complex schedules and priorities with discretion. Experience working in matrix organizations and balancing diverse stakeholder needs. High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools. Strong English language skills (both verbal and written). Background supporting leaders in technology, telecom, or product development environments is an asset. Driven by passion and committed to delivering excellence in support of leadership priorities. Highly organized and skilled in time management; able to execute against deadlines in a fast-paced environment. Expert in collaboration and cooperation; adept at enabling cross-team alignment. Rich experience in working within multicultural, cross-geography, and distributed environments. Demonstrates integrity and professionalism in all interactions. Able to adapt materials and communications for different audiences, from technical teams to senior stakeholders. Comfortable taking initiative and making decisions independently when needed.
