We are seeking a highly organized and detail-oriented
Administrative Assistant / Insurance Assistant
to join our growing financial and insurance team. The ideal candidate will provide essential administrative and client support in a fast-paced environment, helping clients with travel insurance, RRSPs, TFSAs, and investment-related inquiries. This role requires excellent communication skills, accuracy in data handling, and the ability to manage multiple priorities efficiently.
Responsibilities
Handle client inquiries related to
travel insurance, RRSPs, TFSAs, and investment products
, providing clear information and exceptional service.
Prepare and process
insurance applications and investment forms
, ensuring accuracy and compliance with company policies.
Perform
data entry
tasks, maintaining up-to-date client records in CRM systems and insurance portals.
Manage
email and phone communications
, scheduling client meetings and following up on outstanding documents.
Assist in creating and maintaining digital and physical
filing systems
for client files, ensuring confidentiality and accessibility.
Support advisors in preparing
illustrations, proposals, and policy summaries
for clients.
Use
Microsoft Office Suite and Google Workspace
to prepare reports, correspondence, and spreadsheets.
Collaborate with team members to streamline administrative processes and improve workflow efficiency.
Provide assistance with
client onboarding, policy renewals, and after-sales service
.
Maintain professionalism and accuracy when interacting with clients and financial institutions.
Experience & Qualifications
Previous administrative or insurance office experience preferred.
Knowledge of
life insurance, travel insurance, RRSP, TFSA, and investment
products is an asset.
Proficiency in
Microsoft Office
(Word, Excel, Outlook) and
Google Workspace
(Docs, Sheets).
Strong data entry and documentation skills with attention to detail.
Excellent phone etiquette and customer service abilities.
Familiarity with financial or insurance CRM systems is an advantage.
Ability to work independently and as part of a collaborative team.
