Full-Time Administrative Assistant

A personal vehicle is mandatory for tasks such as dropping off signage, delivering feature sheets, meeting clients, and related errands.

QUALIFICATIONS
(Training provided for all areas below)
Knowledge of MLS systems (TRREB), MREB, MPAC, BrokerBay, WebForms, DocuSign, GeoWarehouse --
an asset
CRM/database experience (KVCore, Top Producer, Referral Maker, etc.) --
an asset
Ability to thrive in a fast-paced environment with strong attention to detail
Familiarity with social platforms (Instagram, TikTok, Facebook)
Strong proofreading, writing, and communication skills
Proficiency with: Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs, Sheets), Canva
Excellent phone etiquette and email communication
RESPONSIBILITIES
Provide administrative support to ensure smooth daily operations
Answer and direct calls, manage messages, and handle correspondence
Maintain organized electronic and physical filing systems
Perform accurate data entry and document updates
Handle confidential information with professionalism
Prepare and edit letters, reports, emails, and internal documents
Schedule meetings, appointments, and travel arrangements
Assist with weekly and monthly reporting
Order office supplies and source competitive pricing
Maintain and update contact lists, CRM entries, and team databases
Submit and reconcile expense reports
Support agents with listing preparation, signage drops, lockboxes, feature sheets, and client coordination
