Monday to Friday, 9:30 AM - 6 PM and Casually required to work on some weekends.

Full-Time Administrative Assistant

to join our growing team long-term. This role supports a

team of agents

A personal vehicle is mandatory for tasks such as dropping off signage, delivering feature sheets, meeting clients, and related errands.

You are someone who is:

Highly organized, adaptable, and a multi-tasker A quick learner with a positive, solution-focused mindset Able to work efficiently in a high-volume, fast-paced real estate environment Detail-oriented, self-motivated, and able to work with minimal supervision A strong communicator--both verbal and written A team player who brings initiative, creativity, and professionalism Able to take initiative in every work

Minimum 1 year of real estate admin experience is an asset. We provide

QUALIFICATIONS



(Training provided for all areas below)

Knowledge of MLS systems (TRREB), MREB, MPAC, BrokerBay, WebForms, DocuSign, GeoWarehouse --

CRM/database experience (KVCore, Top Producer, Referral Maker, etc.) --

an asset

Ability to thrive in a fast-paced environment with strong attention to detail Familiarity with social platforms (Instagram, TikTok, Facebook) Strong proofreading, writing, and communication skills Proficiency with: Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs, Sheets), Canva Excellent phone etiquette and email communication

RESPONSIBILITIES



Provide administrative support to ensure smooth daily operations Answer and direct calls, manage messages, and handle correspondence Maintain organized electronic and physical filing systems Perform accurate data entry and document updates Handle confidential information with professionalism Prepare and edit letters, reports, emails, and internal documents Schedule meetings, appointments, and travel arrangements Assist with weekly and monthly reporting Order office supplies and source competitive pricing Maintain and update contact lists, CRM entries, and team databases Submit and reconcile expense reports Support agents with listing preparation, signage drops, lockboxes, feature sheets, and client coordination
