Job Overview
In this full-time position reporting to the Company's operational team, you will be the key support for customer service and office administration for the Company and its affiliated companies operating from the same premise. Duties may include fielding customer telephone calls, taking and following up with purchase orders from customers, keeping track of logistics on procurement, word processing, creating spreadsheets, filing, etc. You will also be assisting the Accounting Manager with processing data entries of accounts payable, invoicing, collection and day-to-day bookkeeping.
Specific responsibilities include, but are not limited to:
Performing supportive and administrative tasks for customer service and purchasing, through answering customer phone calls, managing email communications with customers, preparing sales quotation sheets and purchasing orders
Coordinating inbound and outbound shipping/receiving and logistics
Prepare invoices, purchase orders, daily bookkeeping and assist the accounting department with other duties
Processing management expense reports and corporate credit card statements, etc
Performing general clerical duties such as photocopying, printing, scanning, filing and answering phone calls/emails
Creating and modifying various documents using Microsoft Office
Maintaining general tidiness of office and kitchen space
Other administrative tasks required to ensure the smooth running of the operations

Detail oriented - ability to identify irregularities or inconsistencies
Ability to multi-task, prioritize and manage time efficiently
Persistence and sense of urgency to ensure deadlines are met
Strong interpersonal skills to effectively communicate with customers and interact with other functions of the Company including sales, shipping/receiving, purchasing, accounting and management
Comfortable working in a growth-oriented environment with the ability to follow and improve underlying processes in office administration
Ability to solve problems and deal with changes in plans and unexpected situations
Technical Skills / Requirements
3+ years of experience in a similar role
Knowledge of Excel and Word and Internet researching
Bookkeeping experience including the use of accounting software such as QuickBooks
Experience in coordinating shipping and receiving
Ability to operate forklifts is a definite asset, but not required
Any Cantonese or Mandarin language skills would be a definite asset, but not required
Diploma and experience in business administration, logistics or accounting is an asset

Pay: $18.00-$22.00 per hour
