Job Summary


We are currently seeking an

Administrative Assistant

to join our growing admin team. This role is ideal for someone who is highly organized, detail-oriented, professional, passionate about mental health and offers a warm and grounded presence that helps create a welcoming environment for both clients and therapists.

The Administrative Assistant plays a vital role in supporting the day-to-day operations of the Centre, marketing efforts, and ensuring a seamless experience for clients and staff. Reporting to the Clinic Manager this position handles front-desk operations, client communications, scheduling, and both marketing and administrative tasks that uphold the Centre's standards of excellence in being a mental health service.

This is a

part-time, predominantly onsite role

at our Mississauga location.

Key Responsibilities



Client and Administrative Support



Provide professional, compassionate service to clients and visitors at the front desk. Manage client communications via phone, email and in person with empathy and accuracy. Schedule and confirm appointments, ensuring seamless coordination between therapists and clients. Maintain organized systems for client files, office supplies, and administrative documentation.

Operational and Financial Organization



Assist in tracking and organizing clinic documentation and expenses. Help ensure documentation and filing systems are complete, consistent, and audit-ready.

Content and Resource Development



Assist in creating, formatting, and posting blogs and psychoeducational resources for the Centre's website and community. Collaborate with management team to brainstorm and organize educational content and outreach efforts. Maintain an organized library of psychoeducational resources and ensure accessibility for the therapy team.

Team and Clinic Support



Communicate effectively with therapists and administrative staff to ensure operational consistency. Participate in administrative meetings and contribute to workflow improvements. Maintain professionalism and confidentiality in all communications. Support the management team with ad hoc administrative or creative projects. Manage intake and client communications Schedule and confirm appointments, ensuring seamless coordination between therapists and clients. Maintain organized systems for client files, office supplies, and administrative documentation. Support the intake process and assist with therapist scheduling as needed.

Creative: skills and an eye for clear, engaging presentation Confidence to share ideas and constructive criticism to help us grow together Ability to multi-task with several projects and to-do's. The ideal candidate will strive under pressure where they are able to meet deadlines and honour their commitments. Tech savvy (we are mostly paper-less and everything is online). This means there is proficiency in using programs including but not limited to: Microsoft 365 (Outlook, Word, Excel, Sharepoint, OneDrive) Adobe, Canva, Dropbox etc. Comfortable working with sensitive financial and client information. An interest in psychotherapy, wellness, or education is a plus!

Qualifications



Minimum 1 year of administrative or client service experience, ideally in a healthcare, mental health, or professional services setting. Experience with

JaneApp

or similar practice management software is an asset. Comfort with content creation, writing, or editing (for blog or resource development) is an asset.
