Job Description

Our client, a reputable and growing organization in the Travel & Tourism sector, is seeking a proactive, highly organized, and dynamic Executive Assistant to provide dedicated support to a Senior Leader within the company.
This is a hybrid position, offering a mix of remote flexibility and in-person collaboration based out of Missisauga.
Key Responsibilities:
Executive Support: Provide high-level administrative support to a senior executive, including proactive calendar management, meeting scheduling, and handling confidential communications.
Travel & Itinerary Coordination: Manage complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and travel documentation.
Expense Management: Track and reconcile expenses, process invoices, and manage executivea??s monthly expense reports with attention to detail and timeliness.
Meeting & Event Coordination: Plan and coordinate internal and external meetings, both on- and off-site, including logistics, catering, agendas, and follow-ups. Assist in the organization of corporate events and industry trade shows.
Document Preparation: Draft, edit, and format presentations, reports, and briefing materials for both internal teams and external stakeholders.
Communication Management: Manage high-volume email correspondence, flagging urgent items and drafting responses where appropriate.
Personal Support (Minimal): Assist with occasional personal errands or logistics as required by the executive.
Event Attendance: Represent the executive and/or company at select events, trade shows, or corporate functions as needed.
Qualifications:
Experience: Minimum 2a??3 years of experience in an Executive Assistant or similar administrative role, directly supporting VP-level or higher.
Autonomy & Initiative: Comfortable working independently, managing multiple priorities, and making sound decisions in a fast-paced, ever-changing environment.
Communication Skills: Outstanding written and verbal communication skills, with the ability to interact professionally across all levels of an organization.
Organizational Ability: Exceptional attention to detail, time management, and multitasking skills.
Tech Savvy: Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel); experience with online collaboration tools is an asset.
