JOB PURPOSE
Reporting to the Middle and Senior School Principal, the Administrative Assistant works collaboratively to provide comprehensive administrative, organizational, and logistical support to the Principal and Vice-Principals. Ensuring the seamless and efficient operation of the Middle and Senior School by managing academic and operational tasks, coordinating events, maintaining student and school records, and serving as key points of contact for staff, students, and families.
This role follows a 10?month work schedule aligned with the academic year, working from late August to late June each year and is off during the summer.
KEY RESPONSIBILITIES
Provide administrative support to the Principal and Vice-Principals, including managing calendars, coordinating meetings, and handling correspondence
Act as the first point of contact for the Principal's Office, addressing inquiries with professionalism and discretion
Draft and distribute internal and external communications, including weekly school newsletters and updates
Maintain accurate and confidential student records, including academic progress, attendance, and behavioural documentation
Support the administration of the IB MYP and DP Programs, including uploading student work to relevant platforms such as ManageBac, IBIS, and Kognity
Coordinate and manage exam logistics and support the work of the Personal Project, CAS, and Extended Essay Coordinators
Track IB-related professional development, manage program subscriptions and memberships, and reconcile program expenses with the Finance team
Assist in maintaining curriculum documents and ensuring alignment with IB and Ministry of Education standards
Liaise with departments including University Counselling and the School Registrar to ensure accurate student data and communication of student achievement
Monitor and document student uniform and lateness infractions and ensure appropriate communication with families and school leaders
Manage supply ordering and inventory for school operations and administrative needs
QUALIFICATIONS AND SKILLS
Post-secondary education in a related field coupled with 4-5 years of relevant work experience
Has excellent proficiency with information databases
Displays a high degree of confidentiality when handling sensitive information
Proven ability to work effectively as part of a collaborative, interdisciplinary team, contributing to a positive, inclusive school culture
Excellent written, verbal and interpersonal communication skills
Strong ability to engage collaboratively with students, parents, and staff, prioritizing a service-oriented approach by ensuring professionalism, respect, and responsiveness in all interactions
Strong organizational and time management skills, with the ability to manage competing priorities and meet deadlines in a dynamic and fast-paced environment
Proficiency in navigating a technologically rich school environment, with expertise in Google Workspace considered an asset
