Greet and assist walk-in clients, visitors, property owners, and real estate agents in a professional and courteous manner.
Answer and direct incoming phone calls, respond to online inquiries, and provide accurate information regarding property listings, showings, and general real estate processes.
Manage and update client profiles, property information, and documentation in the company's CRM and administrative systems.
Coordinate appointments for property showings, meetings, inspections, and signing sessions, ensuring smooth communication among clients, agents, and external partners.
Prepare, review, and organize real estate-related documents, including listing forms, offer documents, lease agreements, and supporting paperwork.
Liaise with external stakeholders such as mortgage brokers, law firms, banks, and inspection companies to support transaction progress.
Assist in organizing internal training sessions, team meetings, and company events, including venue coordination and material preparation.
Support daily office administrative functions such as mail handling, document scanning, office supplies management, and reception area upkeep.
Maintain accurate records and continually develop knowledge of real estate procedures, company policies, and customer service best practices.
Perform other administrative or operational duties as assigned by management.
Qualifications & Preferred Attributes
Proficiency in office software and basic administrative tools, including Microsoft Office (Word, Excel), PDF applications, and CRM systems.
Strong customer service orientation with the ability to remain professional and composed when handling inquiries.
Excellent communication skills (verbal and written) and strong interpersonal abilities.
Demonstrated organizational skills, attention to detail, and capacity to manage multiple tasks in a fast-paced environment.
Ability to work collaboratively with team members and support real estate agents in their daily needs.
Previous experience in real estate, property management, or administrative roles is an asset.
Fluency in English is required; additional languages (such as Mandarin or Cantonese) are considered an advantage but not mandatory.
