Job Summary
We are seeking a
detail-oriented and highly organized Administrative Assistant
to be the operational backbone of our property management office. The ideal candidate will possess strong clerical and organizational skills, exceptional communication abilities, and proficiency with relevant office software. This role is crucial for managing administrative property cycles, providing excellent service to our landlords and tenants, and ensuring the smooth, compliant daily operation of our business in Ontario.
Responsibilities
Tenant and Landlord Communication:
Manage incoming communications, including answering inquiries via phone and email from current and prospective tenants and small landlord clients with
professionalism and courtesy
.
Lease and Document Administration:
Assist in preparing, organizing, and tracking essential property documents, including
lease agreements, renewal notices, maintenance work orders, and tenant applications
.
Maintenance Coordination:
Act as the primary administrative liaison for maintenance requests;
log new issues, dispatch contractors, track service status
, and communicate progress updates to tenants and landlords.
Financial Support:
Support basic financial administration such as
processing rent payments, tracking utility bills, basic invoicing, and expense record keeping
using QuickBooks or similar software.
Data and Record Management:
Perform accurate data entry and maintain organized digital and physical records, ensuring all property and tenant files are in compliance with
Ontario privacy and property regulations
.
Office Operations:
Manage front desk duties, coordinate meetings/inspections, schedule property-related appointments, and assist with general clerical tasks and proofreading.
Compliance Assistance:
Assist the Property Management team with compiling necessary documentation for regulatory requirements and applications (e.g., Landlord and Tenant Board forms).
Workflow Improvement:
Assist with administrative projects to improve efficiency and productivity within the property management workflow.
Qualifications
Proven Experience
in an administrative or clerical role; experience in
property management, real estate, or a related regulated field
is highly preferred.
Strong Computer Skills
with proficiency in
Microsoft Office (Word, Excel), Google Workspace, and QuickBooks
or similar accounting software.
Exceptional Organizational Skills
with
attention to detail and accuracy
in data entry, proofreading, and maintaining comprehensive filing systems.
Excellent Customer Service Skills
with professional phone etiquette and the ability to manage diverse stakeholder communications (landlords, tenants, vendors).
Ability to manage multiple tasks
simultaneously, prioritize urgent requests (especially maintenance), and maintain a high level of professionalism under pressure.
Prior experience
with front desk operations and basic bookkeeping is preferred.
Knowledge of the Residential Tenancies Act (RTA)
and standard landlord/tenant procedures in Ontario is a significant asset.
