Job Overview



We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our business. This role requires working in a fast-paced, dynamic environment, and demands strong computer skills, excellent communication abilities, and outstanding learning and adaptability.

Key Responsibilities



1. Administration & Office Management

Professionally handle emails, phone calls, and daily communications. Assist with scheduling, booking, and coordinating meetings and catering events. Maintain and organize electronic and physical files.
2. Design & Document Creation (Core Function)

Design and create menus for clients using tools like Google Docs, Canva, or Adobe. Perform basic formatting, proofreading, and layout adjustments. Assist in preparing project proposals, invoices, event summaries, and presentation materials. Possess basic video editing and creation skills.
3. Operations & Client Support

Respond to client inquiries regarding services. Assist in preparing event notes, tasting notes, and order lists. Coordinate with suppliers and partners as needed.
4. Data & Technology Application

Perform data entry, spreadsheet updates, and administrative reporting. Proficiently use Google Workspace (Docs, Sheets, Drive, Calendar) for daily tasks. Proactively utilize various AI tools (e.g., GPT, DeepSeek, Gemini) to enhance work efficiency.

Requirements



Mandatory Qualifications:

College diploma or equivalent education. Excellent written and verbal communication skills. Strong organizational skills with the ability to manage multiple tasks efficiently. Proficiency in Google Workspace. Proficiency in Adobe Creative Suite and Microsoft Office (Word, Excel, PowerPoint). Basic graphic design experience (familiarity with Canva is essential). Attention to detail and strong proofreading skills. Ability to work independently and adapt quickly to change. Must have access to a reliable personal vehicle. Ability to maintain strict confidentiality in a high-end client service environment.
Preferred Qualifications:

Customer service experience (experience in the food/hospitality industry is preferred). Mandarin communication skills (required for workflow purposes). Video editing experience is an asset.

Work Schedule:



Monday to Friday Full-time, on-site position

Job Type: Full-time

Pay: $25.00 per hour

Expected hours: 30 - 37.5 per week
