Job Summary


We are seeking a detail-oriented and organized Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong clerical and customer service skills, along with proficiency in various software applications. This role is essential for ensuring the smooth operation of daily administrative tasks and providing excellent support to both staff and clients.

Duties



Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Handle filing and organization of documents to ensure easy retrieval of information. Provide customer support by addressing inquiries and resolving issues in a timely manner. Assist with bookkeeping tasks, including invoicing and managing accounts using QuickBooks. Utilize Microsoft Office Suite and Google Workspace for creating documents, spreadsheets, and presentations. Proofread correspondence and documents to ensure accuracy and clarity. Maintain confidentiality of sensitive information in accordance with company policies. Support medical office operations by managing appointments, patient records, and insurance verification as needed.

Qualifications



Previous administrative experience is required; experience in a medical office is a plus. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace is essential. Strong computer skills with the ability to learn new software quickly. Excellent organizational skills with a keen attention to detail. Effective typing skills with the ability to produce high-quality written communication. Demonstrated customer service experience with strong phone etiquette. Familiarity with bookkeeping practices is preferred but not mandatory. Ability to manage multiple tasks simultaneously while maintaining a positive attitude under pressure.
