Job Description

We are looking for a detail-oriented Administrative Assistant to join our team in Markham, Ontario. This long-term contract position offers the opportunity to work closely with managers and business partners to ensure smooth operations. As part of the role, you will be responsible for a mix of administrative tasks, data management, and communication support. The position requires on-site work four days a week, with an option to work remotely one day.
Responsibilities:

  • Manage team mailboxes, ensuring timely responses and accurate dissemination of information.
  • Prepare and distribute reports to various internal groups, ensuring accuracy and clarity.
  • Perform data entry tasks, transferring information from Excel to other systems like PowerBI.
  • Utilize Excel for basic data management functions, including filtering, creating pivot tables, and updating fields.
  • Provide regular updates and feedback to managers, maintaining clear and effective communication.
  • Collaborate with business partners to address inquiries and ensure alignment on tasks.
  • Monitor inventory and sales numbers, preparing summaries as needed.
  • Coordinate schedules and appointments to support team operations efficiently.
  • Assist with inbound and outbound communication, including emails and calls.
  • Ensure accurate documentation and organization of administrative records.
Requirements:
  • Minimum of 2-3 years of experience in an administrative role, with a proven track record of success.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong communication skills, both written and verbal, to interact effectively with team members and stakeholders.
  • Ability to perform basic Excel functions such as pivot tables and data filtering.
  • Experience with data entry and database management.
  • Highly organized with excellent attention to detail and the ability to multitask.
  • Familiarity with PowerBI is a plus but not mandatory.
  • Customer service experience, including handling inbound and outbound calls, is preferred.
