Position Overview
Coastal Shipping Limited is seeking a
detail-oriented and motivated Administrative Assistant
to join our Marine Division. This role supports Accounting, Human Resources, and Operations, with a focus on
data entry, document management, and crew scheduling systems
(e.g., PAL, payroll).
You'll play a key role in ensuring accuracy, supporting HR documentation, and helping maintain compliance with company policies and marine industry standards.
Key Responsibilities
Accounting Support
: Process invoices, purchase orders, expenses, payroll input, and leave-day tracking.
HR Assistance
: Support onboarding, training, personnel records, and recruitment tasks.
Administrative & Data Entry
: Update crew schedules, compliance records, certifications, and appraisals. Prepare reports, spreadsheets, and presentations.
General Office Support
: Coordinate travel/accommodations, manage correspondence, and assist managers and vessel personnel.
Qualifications
Diploma or certificate in
Office/Business Administration
or
Accounting
preferred.
2+ years of administrative experience in a corporate or multi-department setting.
Proficient in
Microsoft Office Suite
(Word, Excel, Outlook, PowerPoint).
ERP/payroll software experience (PAL an asset).
Strong attention to detail, multitasking, and organizational skills.
Excellent communication and interpersonal skills.
Ability to work independently and within a team.
