We are seeking a

full-time Administrative Assistant

to support our office operations, leadership team, and client services. This role is central to keeping our business running smoothly and ensuring our clients receive the outstanding service ONESource is known for.


As an Administrative Assistant, you will play a key role in supporting the Sales & Operations Manager and CEO while ensuring day-to-day office tasks are handled efficiently. Your responsibilities will include:

Client Communication:

Answer phone calls and emails, providing prompt and professional responses.

Scheduling & Coordination:

Book client consultations, move dates, and assist with the team's schedule preparation.

Document Preparation:

Create new client files, ensuring all details are documented. Draft emails, marketing materials (Canva), and assist management with other development tasks.

Data Management:

Maintain accurate records in Google Workspace and our CRM system.

Invoicing & Payments:

Assist with creating invoices, processing payments, and tracking accounts.

Office Support:

General administrative duties, filing, and supporting the leadership team as needed.

Team Assistance:

Provide scheduling and communication support to staff and subcontractors.

Requirements



2-3 years of experience in an administrative or office support role. Excellent communication and interpersonal skills. Strong organizational abilities with attention to detail. Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar). Comfortable managing multiple tasks in a fast-paced environment. Experience with scheduling, CRM, or bookkeeping software is an asset. 1-2 years of accounts receivable experience, including creating invoices, and tracking payments.
