Livia Diamonds is a small, family-run jewelry studio in downtown Toronto specializing in custom-made engagement rings and fine jewelry. We pride ourselves on craftsmanship, transparency, and personalized service -- whether clients are creating a one-of-a-kind ring or choosing from our curated selection of moissanite and lab-grown diamond designs.We're looking for a
highly detail-oriented Administrative Assistant
to help keep our operations organized and running smoothly. The ideal candidate is proactive, organized, and comfortable managing both administrative and day-to-day tasks.
Key ResponsibilitiesOffice & Administrative Support
Provide a warm, professional, and welcoming experience for clients visiting the studio
Organize and maintain office space (restocking supplies, cleaning displays, etc.)
Manage the phone and email inbox -- responding to general inquiries and booking appointments
Track active jewelry orders on spreadsheets and ensure jobs are updated and on schedule
Coordinate pickups, repairs, and courier shipments
Liaise with suppliers, setters, and workshops to ensure production runs smoothly
Keep client files, records, and prototypes organized
Take photos and videos of finished rings and in-progress designs for Communications Manager
Qualifications
Exceptional organizational and multitasking skills
Excellent written and verbal communication
Strong customer service and interpersonal abilities
Comfortable using Google Workspace (Sheets, Drive, Gmail)
Experience with social media (Instagram, TikTok, or similar) preferred
Prior administrative experience in retail, creative, or small business environments is an asset
