Administrative Assistant

Position Overview:
We're searching for a detail-oriented and organized Administrative Assistant to support our office operations. In this role, you'll play a pivotal part in ensuring everything runs smoothly by providing exceptional administrative assistance. The ideal candidate will bring strong organizational skills, proficiency in Microsoft Office software and experience with QuickBooks. Possessing a sincere dedication to providing exceptional customer service.
Hours of work for this role are, Monday to Friday, 9:00 AM - 2:00 PM, perfect for someone re-entering the workforce or a busy parent seeking a position that fits within school hours.
Key Responsibilities:
Assist the Office Manager with daily tasks and support as needed.
Manage outgoing shipments using carriers like UPS, FedEx, and local delivery services. Prepare packing slips for orders. Must be able to lift up to 50 lbs.
Answer phone calls and provide top-notch customer service.
Maintain the office filing system, ensuring correspondence is filed properly.
Create purchase orders through QuickBooks.
Use MS Office Suite (Outlook, Word, Excel) to complete various tasks.
Request freight quotes based on shipment weight, dimensions, and commercial value. Provide estimates to the sales team.
Coordinate freight pick-up and delivery to customer sites.
Unload shipments, inspect for damage, and verify accuracy (checking quantities and part numbers against purchase orders and packing lists).
Follow up with customers as requested by outside sales representatives.
Support the sales team by forwarding emails, drawings, and documents.
Assist the inside sales team with quoting processes.
Operate a forklift or be willing to be trained.
Qualifications:
Previous administrative experience is preferred.
Previous experience with freight and organizing shipments is an asset.
Strong organizational skills and the ability to prioritize effectively.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
Proficiency in QuickBooks is preferred.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team.
Friendly demeanor and exceptional customer service skills.
