We are seeking a reliable and organized Administrative Assistant to join our team and serve as a versatile, catch-all support role in our busy office. This position is essential for keeping daily operations running smoothly, handling a variety of administrative tasks, and supporting multiple departments. Key Responsibilities



Perform accurate

data entry

and maintain organized records, files, and databases. Create and process

purchase orders (POs)

, order supplies and materials from vendors. Coordinate with

shipping brokers

and logistics providers to arrange shipments, track deliveries, and resolve any issues. Enter and track

employee hours

, prepare timesheets, and liaise with the accounting team to provide support for payroll processing or other financial needs. Provide general administrative support, including answering phones, managing correspondence, scheduling meetings, and assisting team members as needed. Handle ad-hoc tasks and projects to support office operations and ensure smooth day-to-day functioning.

Qualifications and Skills



Proven experience in an administrative, office support, or similar role (1-3 years preferred). Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and quick to learn new software or systems. Excellent organizational skills with the ability to multitask, prioritize, and manage time effectively. High attention to detail, especially for data entry and financial-related tasks. Strong communication skills (written and verbal) for coordinating with vendors, brokers, and internal teams. Bilingual (English and Spanish) candidates are strongly preferred. Ability to work independently and collaboratively in a team-oriented environment. High school diploma or equivalent required; associate's degree or certification in office administration a plus.

Nous recherchons un(e) Assistant(e) Administratif(ve) fiable et organise(e) pour rejoindre notre equipe et occuper un role de support polyvalent et general dans notre bureau anime. Ce poste est essentiel pour assurer le bon deroulement des operations quotidiennes, gerer une variete de taches administratives et soutenir plusieurs departements. Le(a) candidat(e) ideal(e) est attentif(ve) aux details, proactif(ve) et s'epanouit dans un environnement dynamique ou aucune journee ne se ressemble.

Il s'agit d'un poste a temps plein en presentiel, offrant des opportunites de contribuer directement a l'efficacite et au succes de notre equipe.

Principales responsabilites

Effectuer une saisie de donnees precise et maintenir des dossiers, fichiers et bases de donnees organises. Creer et traiter des bons de commande (POs), commander des fournitures et des materiaux aupres des fournisseurs. Coordonner avec les courtiers en fret et les prestataires logistiques pour organiser les expeditions, suivre les livraisons et resoudre tout probleme. Saisir et suivre les heures des employes, preparer les feuilles de temps et collaborer avec l'equipe comptable pour apporter un soutien au traitement de la paie ou a d'autres besoins financiers. Fournir un soutien administratif general, y compris repondre au telephone, gerer la correspondance, planifier des reunions et assister les membres de l'equipe selon les besoins. Gerer des taches et projets ad hoc pour soutenir les operations du bureau et assurer un fonctionnement quotidien fluide.
Qualifications et competences

Experience averee dans un role administratif, de soutien de bureau ou similaire (1-3 ans preferes). Maitrise solide de la suite Microsoft Office (Excel, Word, Outlook) et capacite a apprendre rapidement de nouveaux logiciels ou systemes. Excellentes competences organisationnelles avec la capacite a multitacher, prioriser et gerer efficacement le temps. Grande attention aux details, particulierement pour la saisie de donnees et les taches liees aux finances. Solides competences en communication (ecrite et orale) pour coordonner avec les fournisseurs, les courtiers et les equipes internes. Les candidats bilingues (anglais et espagnol) sont fortement preferes. Capacite a travailler de maniere independante et collaborative dans un environnement oriente equipe. Diplome d'etudes secondaires ou equivalent requis ; diplome d'associe ou certification en administration de bureau est un atout.
