We're looking for a highly organized and detail-oriented Administrative Assistant to join our team. This role is a key position that bridges our administrative, sales, and accounting departments. You'll provide essential support to our teams, helping to maintain smooth daily operations and ensure all documentation is accurate and in order.
This dynamic role requires a proactive approach and a superior eye for detail. The ideal candidate will have solid experience with administrative and accounting tasks, as well as a desire to learn and grow with our business.
Key Responsibilities
Act as the primary receptionist, answering and directing all incoming phone calls with a professional and welcoming demeanor.
Sales Team Support:
Update and organize sales contracts and project documentation.
Fill out and manage various project-related documents.
Ensure all necessary project declarations are filed correctly.
Verify that all subcontractor documentation is complete and up-to-date.
Accounting Department Support:
Perform daily accounting tasks, including accurate data entry for client invoicing, supplier costs, and payments.
Assist with client and vendor registration, verifying information and updating company records as needed.
Support the accounting team with collections activities.
Assist with other accounting functions as required.
General Administrative Duties:
Manage general office tasks and maintain an organized workspace.
Store and organize files and document file revisions effectively.
Required Skills and Qualifications
Bilingual (English and French), both oral and written, is essential.
Possesses relevant work experience in an administrative, accounting, or similar role.
Solid knowledge of basic accounting principles and practices.
Highly proficient in Microsoft Office (Excel, Teams, Outlook).
Demonstrated ability to communicate effectively and diplomatically.
Ability to prioritize multiple ongoing tasks and responsibilities.
Comfortable in a dynamic environment, embraces change, and has a desire to learn and grow.
Detail-oriented with a high level of accuracy.
Ability to work both autonomously and as part of a team.
Desired Qualifications
Experience with computerized accounting systems (knowledge of SAP Business One is considered an asset).
Formal education in accounting (DEC or equivalent).
Experience in a sales-driven or distribution environment is a plus.
Work Schedule and Location
Full-time, permanent position.
Schedule: Monday to Friday.
Location: This is an onsite position.
