The Administrative Assistant will be the first point of contact between DLC and leads/clients. They will answer all communication and deal with customer inquiries. They will process requests for services via the creation of leads and To-Dos and have the added responsibility of creating Service EST with the client requests. They are in charge of booking sales appointments for all sales people within the company.
Responsibilities
Customer Service
Check voicemails (all extensions including snow companies) and return calls
Check , and own email and return emails
Phones, emails and walk-in clients
Snow Season:
On-Call Monday-Sunday 7am to 7pm for snow events
Back-up to CSR Manager for escalations, recording bulletin and placing vacation reminders
Sales
Enter leads into LMN and create To-Dos
Creation and sending of Service EST to potential or existing clients
Booking sales appointments for sales people;
Requesting information from clients, as delegated by sales people;
Creation of pivot folders, updating Master Workflow and Google Cal Invite
Assistance in snow contract processing, as required
Data Entry
Renewal periods contract creations (LMN & Follosoft);
Annual projects during quieter periods;
Requirements
Fully bilingual (French/English);
Excellent written and verbal communication skills;
Effective listening skills, and patience and tolerance when dealing with difficult customers;
Intermediate knowledge of Microsoft Office (Excel, PPT, Word);
Expert ability with technology and company software;
Proven ability to organize and utilize time management and prioritization skills to effectively manage multiple tasks in an environment with competing demands;
Highly organized and timely;
A quick learner and a true team player
