We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. This role involves managing various clerical tasks, providing excellent customer service, and ensuring the smooth functioning of daily administrative activities. The ideal candidate will possess strong computer skills, experience with office management software, and the ability to handle multiple responsibilities efficiently in a fast-paced environment.
Duties
Manage front desk operations, including greeting visitors and handling multi-line phone systems
Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
Schedule appointments, coordinate meetings, and manage calendars
Prepare and proofread correspondence, reports, and other documents for accuracy and professionalism
File documents systematically both physically and electronically
Assist with bookkeeping tasks using QuickBooks and other accounting software
Provide customer support by addressing inquiries professionally and promptly
Support medical or dental office functions if applicable, including patient check-in/out and insurance documentation
Maintain organization of office supplies and ensure the cleanliness of workspaces
Perform general clerical duties such as copying, scanning, and faxing documents
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Strong computer skills with experience in data entry, proofreading, and document management
Knowledge of QuickBooks or bookkeeping software is preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Strong phone etiquette and experience managing multi-line phone systems
Previous clerical or administrative experience in an office setting is highly desirable
Ability to handle front desk responsibilities efficiently while providing exceptional customer service
Experience in medical or dental office environments is a plus, including familiarity with medical/dental office procedures and insurance documentation
Effective communication skills both written and verbal
Ability to work independently with minimal supervision while collaborating as part of a team

Pay: From $21.00 per hour
