Administrative Assistant, Investment Counsel, 1832 Asset Management L.P.

The Administrative Assistant, Investment Counsel is responsible for providing high level administrative support to senior members and their teams of the 1832 Asset Management portfolio management team.
Key Responsibilities
The Administrative Assistant, Investment Counsel will be responsible for the following:


  • Perform daily administrative functions for the Portfolio Managers and Analysts team
    • Calendar management: co-ordinate meetings and conferences, update schedules, monitor and assist with virtual meetings
    • Plan & organize internal meetings, special functions and events including booking facilities and catering
    • Prepare agenda, invitation and distribute meeting packages
    • Timely submission of expense reports and account tracking
    • Co-ordinate domestic and international travel arrangements; ensure travel is within policy
    • Prioritize and redirect incoming mail, articles and reports in timely manner
  • Accurately prepare portfolio reports; update spreadsheets and models with current market data for Portfolio Managers and Analysts team, using Excel, Simcorp, Charles River, Internet, Bloomberg or other related industry applications;
  • Gather research/data for presentation material, company visits, conferences, and marketing trips
  • Provide backup coverage for admin team members
  • Communicate and collaborate with other departments to complete projects and update reporting models

Desired Skills & Experience
The successful candidate for this position will possess the following:

  • 4 \xe2\x80\x93 6 years experience providing administrative support in an environment with a broad variety of administrative and clerical functions, including customer service, records management, committee work and report generation.
  • Minimum two years of Financial Services experience;
  • College Diploma in a relevant discipline combined with progressively responsible administrative experience or a combination of education, training and experience deemed to be equivalent;
  • IFIC and /or CSC certification strongly preferred;
  • Expert level PC skills (MS Office: Excel, Word, Outlook, PowerPoint; Adobe Acrobat, web browsers) with an ability to become familiar with firm-specific programs and software
  • Excellent communication skills; communicate in a variety of mediums;
  • Proven ability to take initiative and work independently in a high performing, deadline driven environment
  • Demonstrable track record of supporting fast-paced teams and championing a culture of service excellence for internal and external clients.
