Reporting to the Peat Bog Operations Leadership Team, the Administrative Assistant supports daily operational activities across multiple production sites. This role serves as a key liaison between site supervisors, internal departments, and external partners. Responsibilities include managing communications, coordinating administrative tasks, maintaining documentation, supporting inventory processes, and ensuring timely follow-up on action items to keep operations running smoothly and efficiently.

Job Responsibilities
Manage internal and external communications for peat operations (emails, calls, and follow-up requests)
Place orders for parts and equipment at the request of site supervisors
Prepare, review, and distribute administrative documents (forms, reports, procedures, correspondence)
Maintain calendars, deadlines, and performance dashboards
Participate in team meetings, prepare minutes, and track follow-up actions
Support managers with operating budgets and monthly financial tracking
Track work orders and maintenance requests
Support management of service contracts and purchase orders related to equipment
Assist with entering and validating peat and equipment inventories
Monitor inter-site transfers and maintain material movement records
Compile data for monthly and seasonal production reports
Additional duties as assigned by Supervisory staff
Qualifications
Diploma in Office Administration, Business Administration, or related field
3-5 years of experience in an administrative role; industrial or agricultural experience considered an asset
Strong understanding of operational processes
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams)
Experience with management systems (e.g., Business Central, Geotab) and databases
Basic accounting knowledge (purchase orders, budget tracking, etc.)
Excellent organizational skills and high attention to detail
Ability to manage multiple priorities and meet deadlines
Strong communication skills; bilingualism (French & English) required, spoken and written
Professionalism, discretion, and strong team orientation

Gerer les communications internes et externes (courriels, appels, demandes de suivi)
Effectuer des commandes de pieces et d'equipements a la demande des superviseurs de site
Rediger, reviser et distribuer des documents administratifs tels que des formulaires, des rapports, des correspondances, des procedures, etc.
Effectuer la mise a jour des calendriers, des suivis d'echeances et des tableaux de bord de performance
Participer aux reunions d'equipe, rediger les comptes rendus et effectuer le suivi des actions.
Soutenir les gestionnaires dans la preparation des budgets d'operation et le suivi financier mensuel
Assurer le suivi des bons de travail et des demandes de maintenance
Aider a gerer les contrats de services et les commandes liees aux equipements
Soutenir la saisie et la validation des inventaires de tourbe et d'equipements
Surveiller les transferts intersites et mettre a jour les registres de mouvements de materiel
Recueillir des donnees pour les rapports de production mensuels et saisonniers
Effectuer toutes autres taches qui lui sont assignees par l'equipe de supervision
Competences
Diplome(e) en bureautique, administration ou tout autre domaine connexe
3 a 5 ans d'experience dans un role administratif (milieu industriel ou agricole : un atout)
Excellente comprehension des procedures operationnelles
Maitrise de la suite Microsoft Office (Excel, Word, Outlook, Teams)
Experience avec des systemes de gestion (ex. Business Central, Geotab) et bases de donnees
Competences de base en comptabilite (bons de commande, suivi budgetaire, etc.
Excellente organisation, rigueur et souci du detail
Aptitude a gerer plusieurs priorites simultanement
Discretion, professionnalisme, et esprit d'equipe
Bilingue (francais et anglais) a l'oral et a l'ecrit, obligatoire
