Shift: 8 hours/day, Monday to Friday

  • Pay Rate (T4): $23.60/hr
Job Summary As an Administrative Assistant II, you will support the smooth day-to-day operations of the Thunder Bay regional office through proactive administration, communication, and coordination. This role requires a highly organized, tech-savvy professional who thrives in a fast-paced environment and is comfortable working independently.
Key Responsibilities Executive & Operational Support
  • Manage calendar, travel, correspondence, expense reports, and safety training tracking.
  • Coordinate internal/external meetings including agendas, minutes, logistics, and follow-ups.
  • Maintain internal communication channels and liaise with external contacts.
Office & Facilities Management
  • Handle telephone reception and office operations including mail, supplies, and maintenance.
  • Liaise with REWS and building services for repairs and service tickets.
Regional Team Coordination
  • Maintain distribution lists, directories, and SharePoint/Team sites.
  • Coordinate meeting logistics and manage duty rotations.
  • Distribute materials and updates (e.g., SAP requirements).
Budget & Expense Administration
  • Assist with SAP entries, SRO tracking, and expense submissions.
  • Manage invoice processing.
Technical & Systems Support
  • Process SailPoint/system access requests.
  • Provide Power BI reporting and troubleshoot office equipment.
  • Handle service request orders and general clerical support.
Learning & Onboarding
  • Act as Workday Learning Administrator.
  • Support onboarding and learning functions.
Community Investment & Stakeholder Engagement
  • Provide quarterly spend updates and coordinate media announcements.
  • Support municipal advisors and event coordination.
Minimum Qualifications
  • 3+ years of experience in administrative or executive assistant roles.
  • Post-secondary education in Business Administration or related field.
  • Proficiency in SAP, Workday, SailPoint, SharePoint, Power BI, MS Office Suite.
  • Strong organizational, communication, and time management skills.
  • Ability to work independently and support virtual teams.
  • High attention to detail and discretion with sensitive information.
  • Willingness to travel approximately once per month across Northern Ontario
