The Opportunity



Reporting to the Manager, Support Services, this position is temporary full-time salaried. You are responsible for providing administrative support to the Academic Chairs of apprenticeship and diploma programs. As a Program Administrative Assistant, you will have the opportunity to collaborate with other administrative team members and may travel to satellite sites to cover-off. The Role

    • Concierge service to all clients \xe2\x80\x93 welcome visitors and students, answer phone calls, handle student inquiries in the ticketing system and emails, and provide front desk support as needed.
    • Provide general information regarding the school and direct students/public to appropriate departments for information.
    • Purchasing and travel accommodations bookings for ACs and Faculty as required
    • Provide administrative support to Academic Chairs and faculty
    • Coordinate program meetings and distribute agendas and minutes to attendees. Scribe meetings actions, book rooms, order catering, and provide technical support for virtual meetings when needed.
    • Event coordination for various initiatives and providing resource support for student recruitment and support (Open House, info sessions, capstone events, fundraisers).
    • Generate reports from Banner: Student information, class lists, timetables and schedules.
    • Provide administrative support for projects and data collection, student orientations, student awards, and program accreditations.
    • Enter and prepare load verification for instructors
    • Assist with work-integrated learning and practicum initiatives for students
    • Process substitution forms for faculty
    • Contribute to the effective operation of the schools and sites by performing cover-off reception and administrative duties when needed


Qualifications

    • Minimum high school diploma
    • Office administration diploma/certificate, supplemented with at least 3 years office experience, is required
    • An equivalent combination of education and experience may be considered.
    • 2-plus years of customer service experience in an administrative capacity is highly preferred.
    • High customer service focus, must be willing to assist team members and achieve team goals.
    • Experience in post-secondary education is considered an asset
    • Intermediate to advanced level proficiency in Microsoft Office Programs (MOS) Certification would be an asset
    • Working knowledge of BANNER, SOLAR, DCU, ATOMS, and learning management systems is an asset
    • Strong ability to work independently and make sound decisions or recommendations with limited direction
    • Exceptional verbal and written communication skills and ability to build positive work relationships
    • Excellent task prioritization and organizational skills; flexible and able to manage changes on short notice
    • Committed to quality and meeting deadlines, with a keen eye for accuracy and developing process improvements
    • Must be able to work some rotational evening shifts and occasional events outside of work hours.
