Position Summary




Under the supervision of the Graphic Arts Supervisor, the Administrative Assistant - Graphic Arts provides administrative and logistical support to the department. This role ensures database accuracy, tracks deliveries and invoices, and prepares and organizes production files. Through attention to detail, efficiency, and thoroughness, this individual contributes directly to smooth workflows and high-quality client deliverables.

Key Responsibilities



Administrative Management & Tracking



Monitor BLC dieline matrices and update item databases. Maintain accurate T# listings (structure, size, color, dieline, etc.). Manage Cold Seal cylinder inventory (entries and withdrawals). Prepare shipping documentation (plate returns, sample shipments, etc.). Track, follow up, and approve invoices (plates, transport, suppliers). Maintain monthly records of transport-related billing.

Production & Planning Support



Track plate deliveries for new items and related billing. Ensure all final PDFs are properly archived in the GV system. Create Job Kits and verify documentation before production release. Prepare weekly departmental meetings. Act as the primary contact for scheduling and planning inquiries. Monitor production schedules (new jobs, internal and external approvals). Enter data into the GMS system (plate orders).

Communication & Coordination



Serve as the main contact with plate suppliers for tracking and technical questions. Assist with translation of questions and documents related to remakes. Create, file, and maintain customer press approvals and ink drawdowns.

Skills & Competencies



Strong administrative discipline and exceptional attention to detail. Excellent organization, prioritization, and multitasking skills. Strong bilingual communication skills (English & French). Ability to collaborate across production, planning, and procurement teams. Knowledge of printing processes and manufacturing environments (an asset). Proficiency with Microsoft Office and production management systems (GV, GMS, or equivalent).

Education & Experience



College diploma (DEC) in Administration, Office Management, or a related field. Minimum 2-3 years of administrative or coordination experience, preferably in manufacturing, graphics, or packaging. Experience in document management and logistics tracking (an asset).

Sous la supervision du Superviseur Arts Graphiques, l'Adjoint(e) administratif(ve) - Arts graphiques assure le soutien administratif et logistique du departement. Il/Elle veille a la mise a jour des bases de donnees, au suivi des livraisons et des facturations, ainsi qu'a la preparation et a l'organisation des dossiers de production. Par son souci du detail, son efficacite et sa rigueur, cette personne contribue directement a la fluidite des operations et a la qualite des livrables clients.

Responsabilites principales



Gestion et suivi administratif



Assurer le suivi des matrices dieline BLC et mettre a jour les bases de donnees. Maintenir a jour la liste des T# (structure, grandeur, couleur, matrice, etc.). Gerer l'inventaire des cylindres Cold Seal (entrees et sorties). Preparer les documents d'expedition (retours de plaques, echantillons, etc.). Effectuer le suivi et l'approbation des factures (plaques, transport, fournisseurs). Maintenir le registre mensuel de la facturation transport.

Soutien a la production et a la planification



Assurer le suivi des livraisons de plaques pour les nouveaux items. S'assurer que tous les PDF finaux sont sauvegardes dans le systeme GV. Creer les Job Kits et valider la documentation avant la liberation de la production. Preparer les reunions hebdomadaires du departement. Agir comme personne contact pour la planification et la cedule. Suivre la cedule de production (nouveaux travaux, approbations internes et externes). Entrer les commandes de plaques dans le systeme GMS.

Communication et coordination



Agir comme point de contact principal avec les fournisseurs de plaques. Participer a la traduction de documents et questions liees aux refontes (remakes). Creer, classer et maintenir les approbations de presses clients et retraits d'encre.

Competences et qualites



Excellente rigueur administrative et souci du detail. Excellentes capacites d'organisation, priorisation et multitache. Excellentes aptitudes de communication en francais et en anglais. Capacite a collaborer avec plusieurs departements. Connaissance du milieu manufacturier et des procedes d'impression (atout). Maitrise de la suite Microsoft Office et des systemes GV, GMS ou equivalents.

Formation et experience



DEC en administration, bureautique ou domaine connexe. 2 a 3 ans d'experience dans un role administratif ou de coordination. * Experience en gestion documentaire et suivi logistique (atout).
