Job Description

The Grand Falls-Windsor Heritage Society is seeking a Temporary Maternity Leave position for an Administrative Assistant to join our team at the Heritage Centre located at 7 Scott Avenue, Grand Falls-Windsor.

Duties/Responsibilities:


- Ensure the efficient and smooth day-to-day operation of the office.
- Responsible for handling day-to-day financial transactions such as petty cash, e-transfers and sales transactions.
- Answer and direct phone calls.
- Organize and schedule appointments.
- Take detailed minutes of board meetings in the absence of the board secretary.
- Write and distribute email, correspondence memos, letters and forms.

- Assist in the preparation of regularly scheduled reports, if required.

- Develop and maintain a filing system.

- Maintain contact lists.

- Provide general support to visitors.

- Support the Archivist in following the procedures of accepting donations to the Society when the Archivist is unavailable.

- Act as the point of contact for internal and external clients.

- Be personable and welcoming.

- Handle requests and queries from other board members.

- Grant research and preparation for acquiring grants.

- Work with and oversee, students and new employees.

Requirements and Skills:



- Proven experience as an Administrative Assistant, Virtual Assistant or Office Assistant.

- Knowledge of office management systems and procedures.

- Working knowledge of, but not limited to, office equipment such as computers, printers/photocopiers, scanners.

- Proficiency in MS Office (Word, Excel, and PowerPoint in particular).

- Excellent time management skills and the ability to prioritize work.

- Attention to detail and problem solving.

- Excellent written and verbal communication skills.

- Strong organizational skills with the ability to multi-task.

- Office Administration diploma, or high school diploma with relevant work experience as an Administrative Assistant or a Secretary will be a plus.

- Be willing to upgrade qualifications both for administrative and collection care. Such courses to be at the Society's expense.

- Other duties as required.
