In Your Role You Will
Administrative & QA Support
Perform administrative tasks to support program operations and relieve workload from Quality Assurance (QA) staff (e.g., filing, data entry, and record management).
Greet and assist clients, caregivers, visitors, and community representatives in a courteous and professional manner.
Coordinate day-to-day office activities and support internal communication across departments.
Schedule meetings, appointments, and interviews; prepare agendas and take/distribute meeting minutes.
Assist with monthly reports, staff summaries, and recurring documentation requirements.
Manage office supply inventory and coordinate service requests.
Help facilitate project planning and support internal staff with administrative needs.
Caregiver Onboarding & SAFE Support
Coordinate and support the onboarding process for contracted caregivers, including:
o Conducting initial telephone interviews
o Completing reference checks and collecting certifications
o Assisting with paperwork and document verification
o Supporting HUB registration and caregiver file setup
Provide administrative assistance to SAFE and SAFE Supervisor-trained staff (e.g., organizing assessments, managing documentation).
Ensure all caregiver records and compliance documentation meet MCFD standards.
Contract Administration
Support the Program Directors and Executive Director with contract organization, review, and updates.
Upload and track invoices, estimates, and related documents as required by MCFD (funder).
Monitor contract timelines, amendments, and compliance requirements.
Maintain well-organized digital and physical filing systems for all contract-related documentation and reporting.
The Position
Reporting to the Program Directors and Executive Director, the Administrative Assistant provides multifaceted support to both program operations and contract management functions. This role plays a vital part in enhancing service delivery by supporting administrative workflows, assisting with caregiver onboarding, and ensuring timely, organized contract documentation and communication with Ministry of Children and Family Development (MCFD).
The successful candidate will contribute to Taproot's ongoing compliance with MCFD and CARF/CET standards, while fostering a professional, welcoming environment for clients, caregivers, and community partners.
This position is on-site and based out of the Surrey, BC Child and Youth Services Administration office.
Scheduling
One (1) permanent, full-time position with a schedule of 40 hours per week:
Monday through Friday, 0830-1630

As An Ideal Candidate You Possess
Post-secondary education in Business Administration, Office Management, Social Services, or a related field is preferred.
Minimum 2 years of experience in administrative or contract support roles; onboarding or HR experience is a strong asset.
Experience supporting or working alongside SAFE-trained teams is an asset.
Knowledge of MCFD processes, or experience working with funders, is strongly preferred.
Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with databases and shared portals is an asset.
Excellent organizational and communication skills; strong attention to detail.
Ability to manage confidential and sensitive information with professionalism and discretion.
Understanding of the community living or social services sector is an asset.
