Wage:

$20-$25 Hourly, depending on skills and experience

We are a busy psychology clinic in the heart of Mineola, Port Credit seeking a skilled and reliable Administrative Assistant to cover maternity leave, supporting our team with all administrative and operational needs. There may be an opportunity to extend the contract after 2 years.

Key Responsibilities:



Reception Desk: Receive and Greet Clients Client Service: Answer incoming calls, emails, and inquiries, in a professional and courteous manner. Calendar Management: Manage multiple calendars for several clinicians. Appointment Coordination: Oversee all client appointments, including confirmations and ensuring smooth day-to-day scheduling. Office Administration: Perform general office tasks including digital filing, data entry and maintain accurate client records, adhering to confidentiality standards. Billing & Payments: Responsible for processing payments, preparing invoices, and submitting insurance claims. Office Management: Ensure clinic supplies are stocked and maintain a clean and welcoming environment for both clients and clinicians. Typing interview notes and proofreading clinical reports

Qualifications:



Preference will be given to candidates with two to three years of previous administrative experience, preferably in a psychology/ medical/rehabilitation clinic. A minimum of 1 year administrative experience is required. Diploma, certificate, or degree in office administration would be an asset; equivalent combination of education and experience will be considered. Being flexible and an excellent team player is highly valued. Excellent telephone/customer service skills. Ability to learn procedures and processes quickly. Excellent organizational and time management skills. Able to manage multiple deadlines and tasks simultaneously. Excellent attention to details, easily finding typos and correcting inaccuracies and inconsistencies. Demonstrated aptitude to prioritize tasks based on comparative importance and urgency. Outstanding communication skills in English both written and verbal. Fluency in a second language is considered an asset. Excellent knowledge of Microsoft Office use (Word, Excel, PowerPoint) and Adobe Acrobat Experience in maintaining spreadsheets. Experience in using Owl Therapy for Clinic Management Software is an asset.
