Administrative Assistant - Mortgage Brokerage Team
Compensation: $17-$19 per hour (based on experience)
We are seeking a tech-savvy, quick-thinking, detail-oriented Administrative Assistant to support our fast-paced mortgage brokerage team. You must be highly organized, accurate, and eager to grow your skills and career within the mortgage industry.
Key Responsibilities
Begin each day by reviewing email, Slack, and workflow platforms before sending any communication
Maintain accurate, real-time updates across all systems and calendars
Communicate professionally with clients, lenders, lawyers, and realtors while avoiding duplicate or unnecessary messages
Track outstanding conditions and required documents, escalating urgent matters promptly
Prioritize time-sensitive files to ensure all deadlines are met
Prepare closing day emails and assist brokers with communication
Follow lender-specific requirements exactly as instructed
Upload, organize, and review documents for completeness and accuracy
Review bank statements, paystubs, deposits, and other financial documents with meticulous attention to detail
Enter updates into workflow platforms immediately so brokers have real-time visibility
Provide clear end-of-day handover notes when tasks remain incomplete
Other tasks maybe assigned as needed

Previous administrative experience and asset
Experience working with financial documents (bank statements, income verification, tax documents, etc.) is an asset
Experience in mortgage, finance, legal, or insurance environments is an asset
