We are presently seeking for an Administrative Assistant to offer continuous and varied support for the expansion project teams, as well as sporadically to other groups present on the Candiac site. The selected candidate will identify opportunities for improvement in the administrative processes of the Project. May be called upon to recommend and participate in various projects that will improve the administrative aspect and the interactions with the other business units involved in the project, for example: recommending, participating, implementing corrective actions, or improving administrative practices, via various projects with the aim of reducing administrative interventions and also improving their quality.

Responsibilities :
  • Administrative support to the Project Management;
  • Coordinate the activities and events held within the framework of the project (meetings, progress reports, communications, celebrations, etc.)
  • Perform all related administrative tasks: organization of meetings, preparation and updating of documents and files, reservation of meeting rooms for the various groups, supply of snacks as needed;
  • Coordinate site visits (customers, suppliers, consultants, etc\xe2\x80\xa6);
  • Assistance in welcoming new employees
  • Meeting coordination: Issue invitations, prepare the agenda, take the minutes and follow up with the speakers;
  • Proactively manage travel arrangements, expense reports, various reports or presentations, translation and other documents required by project team members;
  • Ensure the drafting and transmission of current communications \xe2\x80\x93 (preventive notices, change management, progress status, recognition, etc.)
  • Updates of various reports on a regular basis;
  • Follow-up of urgent documents
  • Provide budget support \xe2\x80\x93 expense tracking/allocation, invoicing
  • Support for the development of Objectives (MBO)
Skills, knowledge and abilities :
  • Professionalism, interpersonal skills, flexibility, discretion, patience, willingness to participate in improvement projects
  • Autonomy and initiative, sense of urgency
  • Demonstrates strength in all PMS values, mainly in terms of collaboration and results orientation while improving relationships; excellent judgment in handling confidential information in a professional manner
  • Works in partnership with the other members of the unit
  • Excellent knowledge of the Microsoft Office suite
  • Knowledge/experience with SAP and Concur (asset)
  • Excellent interpersonal skills
  • Ability to carry out several tasks/projects simultaneously
  • Sense of organization and ability to work without supervision while respecting established deadlines
  • Ability to set priorities and work under pressure
  • Proactive in order to improve the service at the administrative level and availability to learn new methods
  • Bilingualism (French/English) and translation in both languages.
Education : Certificate
Diploma of College Studies

Experience : 0 years: Knowledge of the pharmaceutical industry and specific to injectable products would be an asset
10 years: in associated administrative tasks
