About You:

Key Responsibilities:
You'll be the first friendly face people see when they walk through our doors or call our front desk. You'll help keep things running smoothly behind the scenes and make sure clients and staff feel supported. Some of your day-to-day will include:
Greet clients warmly and make them feel welcomed (in-person and over the phone)
Respond promptly to phone calls, emails, inquiries, and voicemails
Schedule, confirm, and manage appointments using Jane system
Manage client paperwork (paper and electronic copies) with accuracy and confidentiality
Manage intake forms, billing, invoicing, and third-party insurance claims
Update online booking availability for therapists
Keep the office tidy and stocked with supplies
Maintain and update Standard Operating Procedures (SOP); Track and report sales metrics and client satisfaction
Attend monthly meetings
Report to Operational Team
Supporting the clinical staff with various admin tasks as needed
Qualifications:
Currently completing or have completed a degree in Psychology
Prior experience in an administrative, receptionist, or clinic setting is preferred
Excellent verbal and written communication skills
Strong organizational and time management abilities
Ability to work well as a team and independently both in-person and in a virtual setting
Tech comfortable (Jane system, Google Drive, Word, Excel)
Fast learner, multitasker, and willing to learn new methods and software tools
High level of professionalism and confidentiality
What We Offer:
Flexibility: Remote position for 2 months, then in-person at Bloor-Islington
Transition Period: Part-time for 2 months, then full-time
