The Opportunity:
McElhanney is seeking an exceptional and dynamic individual to fill the role of an Administrative Assistant in our Yellowhead (Edson) office. In this position, the successful candidate will be providing administrative support to the Yellowhead office and Branch Administrator as well as remote support for other Branch Administrators in locations such as Lloydminster, Peace River, and Edmonton. Duties include welcoming, and guiding visitors, sending, and receiving mail packages, answering, and directing phones, organizing office functions, filing and other branch related duties. This professional administrator will be able and happy to anticipate needs for the office and team as well as work with the managers and all, to run a successful operation.

What You'll Be Doing:

  • Manage Reception: Couriers, Phones, Mail, incoming clients
  • Organize and schedule travel arrangements such as travel and accommodations for field crews
  • Booking safety courses and catering as needed
  • Maintain tracking systems for items to do with health and safety, equipment, and fleet
  • Assist administrative team within the Prairies North Region with various financial document support, including accounts payable, expense reports, and bank deposits.
  • Assist Project Managers with project set up and project-related administrative/clerical tasks as required
  • Desktop Publishing: Formatting of documents using MS word and creating and updating spreadsheets using MS Excel. Options to use Adobe Illustrator and InDesign
  • Executive Support: Support branch manager with scheduling, meetings, various desktop publishing
  • Support other administrative duties as required
What You'll Bring:
  • Prior experience in an administrative/clerical position is preferred, but not necessary.
  • Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent communication skills (written and verbal) including grammar, punctuation, and spelling
  • Attention to detail and ability to multi-task, and the ability to work quickly and effectively in a fast-paced environment
  • Demonstrated workplace professionalism; ability to work well as part of a team but also work independently
  • Experience with Microsoft Dynamics is an asset
