MacEwan University is seeking an Administrative Assistant for a full-time continuing opportunity with our Government and Community Relations department. Reporting to the AVP, Government and Community Relations, you will provide comprehensive administrative and operational support to the area and the broader University Relations (UR) division.
This is an exciting role with a team that has incredible impact across MacEwan University. We are looking for someone that has great passion in working with others, takes initiative, and can be creative in how to support the team. You will be responsible for meeting and event coordination, maintaining effective administrative processes and practices, updating and maintaining templates, databases and spreadsheets, assisting with document preparation for various human resources processes, credit card reconciliation, maintaining and coordinating department assets, inventory management, records management and coordinating financial processes. You will be required to demonstrate flexibility, adaptability, and interchangeability to be able to provide support if there are fluctuations in demand for administrative support across the University Relations division.
Key responsibilities include:
Responding to phone, email and in-person inquiries, providing information and re-directing, when necessary;
Formatting, proofreading and editing documents to ensure completeness, accuracy, appropriateness and alignment with university and departmental policies, procedures and standards;
Creating and updating department forms and templates, including digitalizing documents;
Maintaining and updating paper and electronic filing systems including databases and spreadsheets;
Composing departmental correspondence such as contracts, memos, letters, posters, and notices;
Scheduling meetings, drafting and distributing agendas/minutes, and coordinating meeting logistics;
Establishing and maintaining effective administrative processes and practices;
Completing or assisting with human resource processes including recruitment requisitions, Employee Action Forms and other related items;
Coordinating the new employee recruitment process and developing and maintaining general on-boarding documents for new hires;
Adhering to records management and retention requirements and policies;
Assisting with P-card reconciliation and ensuring correct coding and documentation are used;
Liaising with suppliers, departments, and external vendors to obtain quotes when requested;
Coordinating, updating, and maintaining financial and budgeting processes; and
Researching data and obtaining estimates/quotes to support budgeting.

SKILLS
You will have:
Excellent time management, organizational and prioritization skills;
The ability to take initiative, work independently and manage multiple projects and/or priorities with minimal supervision;
Strong proofreading and editing skills;
The ability to create professional reports and correspondence;
Effective problem-solving skills with keen attention to detail;
Flexibility and adaptability to changing priorities;
Strong verbal, written and interpersonal communication skills with a professional and friendly approach;
The ability to work with confidential information and to exercise judgement and discretion; and
Proficiency in Microsoft Office Suite, Adobe Professional, and SharePoint.

QUALIFICATIONS
A minimum of a diploma in office or business administration or a related field.
A minimum of 3 years of well-rounded administrative support experience, including meeting coordination, financial coordination, and records management.
Experience working in a post-secondary environment would be considered an asset.
An equivalent combination of education and experience may be considered.
