This position will start in January 2026, and has an END DATE of August 2027 and offers a comprehensive benefits package.

Location -

This role is hybrid with a mix of remote and in-person work at North Campus, Edmonton.

Position Summary




The Administrative Assistant is responsible for providing science communications and administrative services to the Mahal Research Group and the Glycomics Institute of Alberta (GIA) and ensuring the effective and efficient flow of information and communication within the group, Institute and its stakeholders as required.


Reporting to Professor Lara Mahal, the Administrative Assistant will provide science communication skills (website, publicity, grant-editing), general administrative support for GIA, and other duties, as needed.


The Faculty of Science is internationally recognized for excellence in research and education. Through pioneering discovery and innovation, the faculty addresses global challenges across disciplines such as biology, chemistry, computing science, physics, mathematics, and earth sciences. Its work positions the university at the forefront of technological, environmental, and scientific advancement.
Science Communications (70%)

Prepares written material for websites, publicity, and science education Prepares written and video material for the institute Website maintenance for institute and lab Aids in grant-writing and editing Aids in figure preparation Aids in editing publications and writing Coordinates and organizes group events and/or events for the institute (e.g., workshops, visits
from prospective staff, visits from other group partners and stakeholders, multi-day symposiums,

etc.)
Maintains and updates a social media presence on behalf of the institute and lab

Research Support (30%)

Tracks grant applications and ensures required actions are completed within timelines Ordering and receiving, as needed Coordinates travel details for the PI and other group staff, including flights and hotels, and arranges
and coordinates itineraries and prepares expense claim forms as needed
Processes financial transactions (i.e., grant agreements, expense claims, credit card
transactions, etc.) as needed
Aids in the preparation of Research Ethics Board paperwork for clinical samples and other paperwork
as needed

Minimum Qualifications



University degree in science or science communication, preferably with 12 months of experience to become functional in the role Minimum of 1 year's work experience in a post-secondary institution; knowledge of University of Alberta policies and procedures is an asset Ability to work independently and in a team environment Computer proficiency in a Windows or Mac environment using MS Office applications, e-mail and the internet and Adobe Design Products (Illustrator, Photoshop, etc.) Proficiency using Google Apps Excellent time-management skills Outstanding written and oral communication skills Financial management skills Strong organizational skills with a high level of accuracy and attention to detail

Preferred Qualifications



Degree or diploma in biochemistry, cell biology, chemical biology, or science communication is an asset; equivalent combinations of education and experience may be considered Proficiency in learning new computer programs and applications; knowledge and experience with design programs Working knowledge of PeopleSoft
