MacEwan University is seeking an Administrative Assistant for a Full-Time, Continuing opportunity with the Department of International Business, Marketing, Strategy and Law, and Decision Science.
In collaboration with the respective department chairs and other internal stakeholders, you will provide a wide range of services to ensure the administrative needs of the departments are met. Primary areas of support include areas of faculty and chair services, sessional instructor communication and contract processes, general office management, and group events.
Key responsibilities include:
Receiving inquiries from stakeholders (e.g. students, staff, faculty, guests/visitors, and public) and responding or referring as appropriate;
Assisting faculty and their guests with expense claim processes and communicate with stakeholders for issue resolution;
Preparing and communicating course outline templates to faculty and tracking faculty completion and compliance with policy and standards;
Making enquiries on behalf of respective department faculty to internal and external stakeholders;
Communicating faculty course assignments to the Dean's Office;
Drafting, distributing, and receiving letters offer letters/contracts;
Arranging for support from other departments, including key card access, furniture moves, and ergonomic assessments;
Ordering equipment and supplies, arranging for removal of surplus items and materials including confidential shredding, and conducting annual inventory assessments; and
Scheduling sessions and booking rooms and technology services, including those for search committees and visiting faculty lecture.

SKILLS
You will have:
Highly proficient in MS Office (Word, Outlook, Teams, SharePoint, OneNote, OneDrive, Excel, PeopleSoft), preferably with skills and knowledge at the Level 2 standard for Word, Excel, and Outlook;
Strong interpersonal skills and outgoing presence;
Strong verbal and written communications to effectively communicate with students, faculty, and peers, and guests;
The ability to be discreet and maintain confidentiality of the respective departments;
The ability to plan and complete regular / annual administrative duties;
The ability to handle frequent interruptions;
The ability to work independently or as part of a team;
The ability to manage expectations, deadlines while taking direction from multiple faculty;
The ability to quickly prioritize workload, multi-task and work well under pressure;
The ability to be self-motivated and take initiative when needed; and
The ability to problem solve and provide solutions at a moment's notice

QUALIFICATIONS
A minimum of a College Diploma.
A minimum of 2 years in a similar position.
An equivalent combination of education and experience may be considered.
