temporary, Administrative Assistant
to join our team!
Position Overview:
We owe our success to people and processes. The clinical administrative assistant is the supportive force behind both. The Administrative Assistant falls under the supervision of the Central Office Administrative Lead, and responsibilities may include front-desk reception, referral management, and other clinical administrative support. Regular schedule will include a combination of daytime and at least 2 evening (12:30pm - 8:30pm) shifts per week, with occasional Saturdays. Currently this is a 12-month contract.
Key roles and Responsibilities:
Provide clinical administrative support to enable primary care delivery at the central ESPCN office/clinic. Duties may be assigned in a variety of areas.
Perform reception duties at the front desk, including answering phones, greeting all visitors courteously and demonstrating strong customer service.
Respond appropriately to occasional conflict with patients and visitors by engaging in effective de-escalation, following internal procedures and seeking support from management where appropriate.
Manage a busy, multiline phone system, and effectively respond to inquiries.
Manage clinician schedules, patient records, and appointment bookings, including reminder processes and completing post-appointment follow-up tasks in the Electronic Medical Record (EMR)
Referral management including processing incoming referrals, completing patient calls, and making appointment bookings.
Administrative support including scanning and faxing of documents, photocopying, managing incoming/outgoing mail, email and Teams correspondence.
Group programming coordination including scheduling, registration, resource preparation, and room booking.
Conference and consult room furniture set ups for meetings and patient programming.
Maintain appropriate privacy and confidentiality, as per the Health Information Act (HIA) and internal policies and procedures.
Maintain an organized and clean office environment.
Maintain certification as a basic first aid attendant for the office and clinic.
Experience, Skills and Qualifications:
Proficient problem solver with excellent verbal and written communication skills.
Excellent organizational skills and ability to manage multiple tasks and demands at one time.
Strong interpersonal skills and demonstrated ability to provide outstanding customer service.
Ability to manage challenging situations using conflict resolution and de-escalation skills.
Impeccable attention to detail.
Experience using Healthquest Electronic Medical Record or other Electronic Medical Records.
Computer skills required; Office 365 experience preferred.
Experience with referral management is an asset.
Knowledge of medical terminology an asset.
Ability to lift 20-30 lbs.
Basic first aid certification is required - will be provided if not currently valid.
Grade twelve (12) education, post-secondary medical office assistant/unit clerk/administrative certificate preferred.
One (1) year related clerical experience or equivalent. Preference given to those with healthcare experience.
Successful candidate will be required to provide a criminal record check.
