A DAY IN THE LIFE OF AN ADMINISTRATIVE ASSISTANT




As an Administrative Assistant, your day will be centered around ensuring processes run smoothly and meet the highest standards. You'll spend time auditing insurance assignments, preparing reports, and analyzing workflows to spot inefficiencies and recommend proactive solutions. You'll work closely with coordinators, training and supporting them while also maintaining SOP manuals and client files. Communication will be a key part of your role, whether you're handling staff and customer inquiries, ensuring incoming emails are responded to promptly, or acting as a point of contact for adjusters and vendor managers. During CAT events, you'll help organize and monitor assignment flow, making sure nothing slips through the cracks. Beyond quality assurance, you'll also contribute to a positive workplace culture by helping with staff lunches, office events, and keeping supplies organized-all while keeping service and professionalism top of mind.

QUALIFICATIONS



3-5 years of experience in business administration (insurance experience an asset) Xactimate knowledge (strongly preferred) Strong organizational skills with meticulous attention to detail Excellent written and verbal communication skills across all levels Ability to work independently, prioritize, and thrive under pressure Proficiency in Microsoft Office, especially Excel Professional, punctual, and reliable with strong customer service skills Ability to maintain a highly professional and ethical profile at all times
