Administrative Assistant

to support the Legal Assistants and Paralegals, prepare for meetings, prepare expense reports, plan events, draft correspondence, and provide support on other firm initiatives, as required. The Administrative Assistant is expected to build effective working relationships with both internal and external stakeholders at all levels. They are responsible for providing day-to-day administrative support while maintaining a high degree of confidentiality. We invite you to review the job description.

Duties & Responsibilities

Extensively manage boardroom calendars, triage requests, ensure the lawyers are supported prior to and during meetings and that their day is on track; Oversee and maintain the cleanliness and organization of shared common spaces, including kitchens, catering areas, and event rooms, ensuring these spaces are consistently presentable and stocked to support daily operations and firm standards; Support all aspects of the client experience, including boardroom setup, concierge-style services, and coordination of service requirements to ensure a seamless, professional, and welcoming environment; Document production such as printing, photocopying and scanning; Electronic and hard-copy filing including electronic indexing of documents, following profiling conventions; Administrative support for opening and closing files, timesheet entries and scheduling appointments; Finance-related tasks, such as completing expense reports and cheque requisitions/deposits; Assist with the monthly billing process: organize pro formas, check for consistency with client billing agreements, comply with e-billing requirements, cross reference tallies for retainer agreements, complete client requested tracking forms, and create cover letters; Manage business expenses and perform expense reconciliation; Edit and revise legal documents and correspondence; and Work with various departments (i.e., finance and HR), as needed.

Knowledge, Qualities & Experience Required

College diploma, undergraduate degree, Legal Assistant/Executive Assistant diploma or equivalent is preferred; Five or more years of experience providing support to professionals in a fast-paced, professional services environment is preferred; Corporate, Legal, or Financial Services experience is an asset; Strong ability to work well under pressure and on time sensitive deadlines in a high-performing environment; Extremely motivated, adaptable, eager to learn and professional; Exceptional working knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) and aptitude in learning new technologies are required; Exceptional (written and verbal) communication and interpersonal skills; Excellent organizational and time management skills; Strong attention to detail with the ability to prioritize and multi-task; Strong searching abilities (i.e., emails, archives and document management); Ability to work independently and take initiative; and Willing to work flexible hours, as required.
