ADMINISTRATIVE ASSISTANT

FACULTY OF SKILLS & FOUNDATIONAL LEARNING

Reporting to the Program Coordinator, this position is based at the North Edmonton Remand Centre site and is responsible for the administrative processes to facilitate students accessing NorQuest programming at Edmonton Remand Centre.

This position provides administrative support for students to be recruited, placed in appropriate courses, registered, and certified. This position keeps accurate and timely records using NorQuest College and Solicitor General databases and assures the continuity of accurate information gathered for reporting.

This position requires availability in person at the Edmonton Remand Centre 4 days per week and provides flexible work options that include working from anywhere 1 day per week. This position may require occasional evening availability based on program needs.

This is a casual position to March 8, 2024, with possibility of extension.

HOW YOU\xe2\x80\x99LL MAKE A DIFFERENCE

  • Daily maintenance of student files (discharges, new admits).
  • Preparation of weekly attendance sheets, student waitlists and developing class lists, backfilling courses as needed (Edmonton Remand Centre/Edmonton Attendance Centre/Edmonton Young Offender Centre, Fort Saskatchewan Correctional Centre).
  • Complete student registration, course timetabling, withdrawals, and grade changes.
  • Document final course results and outcomes.
  • Prepare statistics for reporting purposes (includes annual report in June-July).
  • Maintain and coordinate records management system under the direction of the Compliance team.
  • Maintenance of equipment (load paper, staples, replace toner, etc. arrange support from vendor service provider for complex issues).
  • Create course packages for self-studies as needed.
  • Filing active student and ended student\xe2\x80\x99s records.
  • Order and track office supplies for all centres.
  • Manage mail pickup and sorting.
  • Print certificates upon successful course completion and assist students with requests for certificates, unofficial transcripts, and letters of completion.
  • Completing Request for Interview documents from students or distributing them to the leadership team.
  • Assist with engagement opportunities between NorQuest Correctional Campuses and NorQuest Main Campus.
  • Communicate and collaborate with Solicitor General and collect relevant information to support programs.
  • Assist with other duties and responsibilities as directed and prioritized by NorQuest Correctional Campus Leadership Team.
  • Demonstrate desire to work with correctional students.
WHAT YOU BRING
  • 2 year diploma in Administration or Business.
  • 3+ years experience in an administrative support role.

SALARY: $23.34 - $30.33 per hour reflective upon what you bring AKA your education and experience. This is a casual position with an additional 11.2% in lieu of vacation and holidays.
