The Administrative Assistant provides essential administrative and clerical support to ensure the smooth and efficient operation of the organization. This role requires exceptional organizational skills, attention to detail, and the ability to balance multiple priorities while maintaining a high standard of professionalism and customer service.
This position works under minimal supervision and requires availability Monday through Friday during regular business hours. Occasional overtime, evening or weekend work may be required based on operational needs. Local travel will be required for banking and related errands, quarterly meetings or other organizational events.

Key Responsibilities
Administrative Support
Provide courteous and efficient front-line service to clients, staff, and visitors, ensuring a professional and welcoming office environment.
Manage and direct incoming telephone calls and inquiries with tact and accuracy; take and distribute messages promptly.
Draft, type, and proofread correspondence, reports, meeting minutes, etc with attention to accuracy and presentation.
Maintain organized filing systems (both digital and physical) in accordance with office procedures and confidentiality requirements.
Monitor and replenish office supplies and supplies needed at our Small Option Homes; coordinate purchases and deliveries as required to ensure adequate stock levels.
Prepare, format, and distribute meeting materials; coordinate logistics, attendance, and communication for meetings.
Attend meetings (e.g., Board, Finance, Audit, and Risk) as required; accurately record, type, and distribute Board packages/minutes in a timely manner.
Coordinate staff training requests and submissions following Department of Community Services (DCS) guidelines and deadlines.
